Kimpton checks-in to Web-enabled document management with Xythos

SAN FRANCISCO -- Xythos Software, a leading developer of basic document management software, today announced that Kimpton Hotels has deployed its Enterprise Document Management Suite 6.0 to manage electronic and paper documents throughout its organization. The Xythos system will be used to automate and centralize a variety of enterprise business processes, as well as provide Kimpton with improved flexibility regarding its use of document imaging and storage technology.

Like other fast growing geographically-distributed organizations, Kimpton needed to establish common business practices across its 43 locations to maintain and monitor service consistency, reduce waste, and ensure customer satisfaction. For Kimptons finance and legal departments this included centralizing contract management procedures and creating a standardized review and approval process. Establishing best practices for managing supplier contracts was aided by introducing a common document repository and basic business workflows. The Xythos system at Kimpton headquarters in San Francisco is easily accessed by managers at other locations and a variety of scanners and multi-function products (MFPs) can safely upload content to the system using the standard WebDAV internet protocol.

While Kimpton’s IT management recognized the need for an electronic document management system, it wanted to avoid the potential risks of ‘vendor lock-in.’ “We wanted to be able to look at what fit the business best – that was the big driving force in our decision,” said Andy Furrer, Vice President of Technology at Kimpton. The IT team also needed a solution that required minimal training and support, regardless of the hardware installed at each property. “We wanted a solution that provided ease of use, would automate workflow and be platform-independent,” Furrer added. The ability to access the Xythos system from common web browsers or standard Windows desktops was obviously a plus.
